As we wrap up a fantastic 2023 at ClearEvent, it’s time to reflect on a year brimming with innovation, improvements, and customer-driven enhancements. A massive shoutout to our amazing customers – your insights and feedback have been the magic behind this year’s exciting updates!

Q1: A Fresh Start with ClearEvent

We kicked off the year with a bang! Our Q1 updates focused on streamlining your event registration processes. The introduction of the Delete Registration feature allowed you to easily clean up test or spam registrations. We also made significant enhancements to List Field validations and Fee Display Options, ensuring a smoother registration experience for both organizers and attendees.

Q2: Elevating Your Event Experience

Q2 was all about enhancing user interaction and data accuracy. We fixed those pesky Daylight Savings Time issues in registration confirmation emails and introduced more intuitive Booth Fee management. Plus, our Content Page length got a massive boost, allowing you to share more detailed event information with ease.

Q3: Integrations and More!

Our third quarter was a game-changer with the introduction of Webhooks Support. This feature seamlessly integrates ClearEvent with your CRM or other third-party systems, eliminating duplicate data entry. We also integrated Google Analytics 4, enabling deeper insights into attendee behavior. And let’s not forget about the enhancements in Product Quantity Updates and the Virtual URL in Confirmation Emails.

Q4: Wrapping Up with a Bang!

We ended the year on a high note with several key updates. Alt. Email field customization, Registrant Transfer from Archived Events, and Registration Checkout Step Title Removal were just the tip of the iceberg. Our Event Portal saw significant improvements, making event management more intuitive and enjoyable. For attendees, the My Orders page has been revamped to conveniently display all registrations and tickets in one place, eliminating the need to navigate through individual Event Portals.

Here’s what’s new in the latest ClearEvent product release.

Registration

Many updates and enhancements have been released these past months, here they are:

  • Don’t send reg confirmation emails for manual approval to event admins: Registration Confirmation emails are no longer sent to Event Managers when a registration is manually approved. This change will help to reduce the amount of system notification emails that are being delivered to Event Managers. Registration Confirmation emails (if enabled) will still be sent to Event Managers whenever a new Pending registration is received, or an Auto-Approved registration is received.
  • Restrict product variant total quantity to Max Qty: We’ve updated our registration form to make product quantity selections clearer. Now, when you add a product with different variants to your registration, the total quantity of all variants combined cannot exceed the set maximum quantity (Max Qty) for that product. Previously, each variant could be added up to the Max Qty separately.
  • Allow Alt. Email field to be hidden: The Registration Form Designer now allows you to determine if the Alternate Email field should be shown on your Registration Form. By default, the Alternate Email field is displayed and allows the registrant to decide if they would like to forward a copy of their registration to an alternate email address. If you do not need this functionality, you can now turn off this feature by unchecking the Alternate Email field for a specific registration form in the Event Manager App > Forms tab > Edit a specific form > Fields tab > Registrant Details editor > Alternate Email checkbox.
  • Allow registrants to be transferred from archived events: Registrants can now be transferred from an archived event event to any other event in the organization provided existing transfer rules and restrictions apply. This can be very helpful for scenarios where an event decides to accept early registration for their next event while their current event is still active. In this scenario, if you rolled over the event, those event registrations intended for the next event would get archived, which is why it can sometimes be desirable to transfer out of a past archived event to the current active event.
  • Include FormId and Rename ParticipantType in registrant export file: The Registrant Export file format has been updated to now include the unique FormId that is associated with the Form in ClearEvent. This can help identify the unique registration form that was used to sign up an attendee in rare scenarios where there are multiple forms with the same name. The “Participant Type” column was also renamed to “Registrant Type” in the export file to be consistent with Event Manager App terminology.
  • Remove Registration Checkout Step Titles: The registration checkout workflow has been improved to make it more flexible by removing the built-in Step titles for the Register and Fees steps. No longer will these steps display a non-editable “Register” and “Choose one” heading label. If you need to display a title for these checkout steps, consider adding text styled as a Heading to the Settings tab > Description field, and Fees tab > Instructions to buyer fields.
  • Do not send admin confirmation emails for manual approvals: To help reduce unnecessary email communications from the ClearEvent platform, Event Managers will no longer receive redundant registration approval notification emails. These confirmation emails are not needed anymore as it is the Event Organizer that initiates the approval in the first place. The original registration received confirmation email will still be sent so that Event Managers know there are new registrations to review and approve.
  • Configurable Checkout Step names: Now Event Organizers can customize their Registration Step names to match their preferences and align with their needs in the Form Builder.
  • Increase Rich Text content field size: The Rich Text Field in the Form Designer has been modified to increase the maximum number of allow characters of text (100,000). This allows for including longer-form text content on your registration forms.
  • Form Fields not resetting when not visible: Form fields on a registration form that are hidden as the result of a display rule, will now have their value reset if the field is hidden.

The Products tab has also received many updates and enhancements improving the use of this section.

  • Zoom on hover over product image: Image zooming can now be enabled for Product add-on images added to a registration form. Allow your registrants to zoom in on important product details. For existing products, this feature can be enabled by editing the product and selecting the new “Image Zoom” setting. For newly added products, image zoom is enabled by default.
  • Copy Product: Products can now be copied quickly and added to a registration form. Copying a product can save time whenever you need to create many similar products.
  • Filter Product List: In the Event Manager App’s Form Designer, you can now filter the list of products that can be linked to a registration form. This makes it easier to manage large numbers of products.
  • Export includes all Products: Fixed an issue with the Registrant Export that caused all product details to be included in the export file, no matter if the product was linked to the form or not. Now, only products linked to the registration form, as well as any past products purchased will be included in the export file.

Tickets

  • Allow printing tickets from Order Details page: Ticket Orders can now be easily accessed and printed from the Ticket Order Details page.
  • Include Created On date in Ticket Holder export: The Ticket Holder export file now includes the Created On date. This makes it easier to identify newly added ticket holders.
  • Edit and Resend ticket order: Event Manager using our Event Manager App can now easily update ticket details right from the Ticket Order Details page. Made a mistake or need to change something? No worries! You can edit and then swiftly resend a PDF of the updated Ticket Order to the person who bought the ticket. Whether it’s updating the ticket holder’s info, canceling a ticket, or making other modifications, we’ve got you covered.

Event Portal

  • Preview Event Portal Pages: Event Managers can now preview the Event Portal without having to open the Event Portal. When in preview mode, a “Preview” banner will be shown to Event Managers on the Event Portal to indicate that the Event Portal is not yet open to attendees.

My Orders

  • Show all orders across all events: The My Orders page has been updated to show all registration and ticket orders across all events that an attendee is participating in. Attendees no longer have to access the event-specific My Orders page to find their registration or ticket order details. The new My Orders page can be accessed here.

Misc.

  • Fix Registration : File upload fails. Fixed issue preventing files with invalid characters (\:/*?”<>|) from being attached to a registration form.
  • Fix Registration: Can’t save if fee is over $100,000
  • Fix Registration: Can’t transfer registrant unless all options match in destination field.
  • Fix Registration: Calendar attachment attached to admin not registrant confirmation email
  • Fix Registration: Increase Rich Text Field size
  • Fix Registration: Worksheet Column filtering not working
  • Fix Copy Event: Become a Sponsor link refers to old event registration form link
  • Fix Tickets: Duplicate ticket order submitted
  • Fix Tickets: Make Ticket Holder Name optional

Here’s what’s new in the latest ClearEvent product release.

Integration

We’ve added an “Integrations” tab in the Event Setup section!! Being able to synchronize data with third party softwares is increasingly important to Event Organizers and we’ve heard you.

Webhooks Support

You can now sync ClearEvent with your CRM or other third-party systems. Specify a webhook URL and choose when to export data. Say goodbye to duplicate data entry! The Webhooks integration feature is available to all customers on our latest subscription plans.

Please Note: If you are still using an older “grandfathered” subscription plan, you will need to upgrade to a current annual subscription plan to access this feature.

Google Analytics 4 (GA4) Support

Events can now link your Event Portal Web App and your registration forms directly to Google Analytics 4. Dive deeper into attendee and visitor behavior on your Event Portal Web App. Simply connect your Event Portal Web App by adding your GA4 Measurement ID under Event Setup > Integrations tab.

Please Note: This feature is exclusive to active subscribers of the SINGLE EVENT annual subscription plan or newer.

Registration

The Registration section saw many updates and enhancements, here they are:

  • Allow update of Product quantity: Registration products can now be edited. For pending registrations, Event Managers can add, edit, or delete free and paid products from the registration before approving a registrant. If a payment has been processed (for a paid registration), only free products can be added, edited, or deleted from a registration.
  • Include Virtual URL in Reg Confirmation Emails: Registration confirmation emails sent for registration forms specifying a custom Virtual Address location will now automatically include a “Join Now” button. When a registrant is approved (automatically or manually) a registration confirmation/approval email will include the “Join Now” button. Clicking this button will open the URL specified in the registration forms Event Location > Use custom event location > Virtual Address field.
  • Allow old Registration Forms to be deleted: You can now delete old registration forms even if all related registrants haven’t been canceled. This is possible if the Custom End Date or Start Date is in the past. When a form is deleted, any associated jobs, Smart Budget Line Items, Job Assignments, and pinned Event Pages will also be deleted. Keeping your event workspace clean is now easier than ever.
  • Apply Promo Code before Charge: Event Managers can now apply promo codes to Pending registrations that haven’t been charged yet. There is no more need to cancel and re-register if a promo code was forgotten! Learn more here
  • Allow larger fee prices: The maximum registration fee price for early, regular, and late fee prices has been increased from $100,000 to $1,000,000 to allow for much larger registration fee prices (which are most typically used when adding sponsorship package fees to sponsor registration forms).
  • Remove count from fee group headings: In the Registration checkout workflow, when Fee Groups are used to organize and group fees, the fee group heading has been simplified to no longer display the count of the number of fees in the fee group (e.g. “FOOD VENDORS (1) >” is now displayed a “FOOD VENDORS >”)
  • Dynamically show/hide address columns from Worksheet tab: The “Registrant Worksheet” tab has been enhanced to show the Address fields in two scenarios:
    • If the registration form is currently set up to gather address details.
    • If any past registrants had given their address details, even if newer registrants aren’t required to provide this information anymore.
  • Rich Text field scrolling into view: Previously, when adding a new Rich Text field to a lengthy Registration Form, the field wasn’t scrolling into view. Also, reordering fields with a long Rich Text field was causing some scroll position issues. Now, these actions work smoothly.
  • Transfer a pending registration: Previously, it was not possible to transfer a pending registration. Now, you can smoothly transfer pending registrations.
  • Payments tab not showing correct Net Received By Event: Previously, the ‘Net Received By Event’ row on the Payment tab wasn’t correctly subtracting both service charges from the total. Also, the ‘Payment History’ section wasn’t showing both service charge amounts. Now, these calculations and displays are accurate.

Tickets

  • Collect details from Ticket Buyer: Ticket Buyer details can now be collected on a Ticket Order. These details include address, phone, company, job title, and up to 5 custom fields. Previously, these details could only be collected from each Ticket Holder. This new capability allows for simplified ticket checkout experiences that need to collect additional information from only the ticket buyer.
  • Include event date in Ticket Holder data and export: Enhanced Ticket Date Visibility for Event Managers. It is not possible to view the Ticket start and end date/time directly from the ticket holder list and ticket holder data export file. This enhancement aids in manual check-in verification and provides clarity on ticket validity.

Event Portal

  • Support Sharing API: Great news for your attendees! Attendees can now effortlessly share a link to the Event Portal Web App with just a click. Look for the new “Share” button at the top of the Event Portal. What’s even cooler? This button uses your browser’s Sharing API, allowing you to instantly share the link through your favorite social media apps. Happy sharing!

        

  • Register page bulleted list formatting improved: Previously, bulleted items in the Form Description were getting cut off when viewed on the Event Portal > Register page. Now, they’re displayed correctly.
  • Registrant Lists show encoded characters: Previously, custom field values with special characters (like single quotes) were displayed as encoded values in the Registrant List Page. Now, they’ll display correctly. So “abc’s” will show as “abc’s”, not “abc’s”.
  • Sort Locations by name alpha: A more organized “Locations” page is now available on your Event Portal. The Locations page is now sorted in an alpha-numerical order for better control over the display of your location information.
  • Increase Logo Display Size: The potential display size of the custom event logo displayed in the Event Portal header area and Registration Form header area has been increased by up to 2x. This allows for more clarity when displaying smaller square or round brand logos.

Jobs

Allow Event Organizers to show/hide Team Members on Job Details page

Event Managers can now show or hide the list of assigned team members (registrants) for a specific Job. This ability adds improved privacy controls for scenarios where you do not want team members to be able to discover who else is assigned to a specific job.

Show filter dropdown on My Jobs page on Event Portal

Registrants who register multiple people for an event under the same ClearEvent account can now filter the assigned jobs listed on the Event Portal > My Jobs page. This is helpful in scenarios where a family member may be registering multiple people under a single ClearEvent account/email.

Show contact email and phone in the Job Assignment grid: Now Event Organizers can add the contact email and phone number fields in the Job Assignment grid making it easier to find a Job Assignee’s contact details.

Communication

  • Messages: Send messages only to checked-in attendees: Now Event Organizers can filter your distribution list further in the Messages section as we have added a “checked-in” filter selection box in the Send criteria. You can now send messages to Approved & checked-in guests instead of only Approved previously.
  • Allow larger logos in email templates: Event Organizers can now showcase a larger logo in the header of their invite emails, ensuring a stronger brand representation. When uploading your brand logo, a resized version (with a max resolution of 400 width x 200 height) will be created for optimal email display.

Other Updates

  • Accessibility: Improve contrast of disabled text.: Accessibility Improvements. Improved contrast of disabled text. Improved accessibility of the Country dropdown list label to better communicate the purpose of this field to screen readers.
  • My Orders: Show products in My Orders list for registrations: The “My Orders” page on the Event Portal Web App now displays all the products an attendee has purchased during registration. It’s now easier than ever for attendees to keep track of their buys! The “My Orders” page can now be accessed here

  • Fix Payments: Improve payment gateway warnings in Event Manager App.
  • Fix Contacts: Inline Delete Contact button.
  • Fix Invites: Error showing no-logo icon.
  • Fix Payments: Incorrect billing period displayed on Billing tab.

Here’s what’s new in the latest ClearEvent product release.

Registration

Wrong event date shown in reg confirmation email

Previously, for some event time zones, the Event Start date in the registration confirmation email was showing up earlier than the actual start time due to a Daylight Savings Time (DST) issue. Now, the email correctly reflects the custom start date you set.

Copy Booth Fee copies the Booth Status

Previously, when you copied a booth fee, the booths sold on the original fee were marked as sold on the new fee. Now, all new booths will be available regardless of their previous status.

Event Portal

Increase Content Page length

The Content field size on the Content page has been increased from 10,000 to 250,000 characters. Now, you can display longer, formatted information with ease. Enjoy the extra space!

Add to Calendar buttons not showing correct date for DST events

We’ve fixed a Daylight Savings Time (DST) date display issue where the system was showing incorrect times when added to a calendar for some time zones. Now, the ‘Add to Calendar’ button correctly reflects DST adjustments.

Here’s what’s new in the latest ClearEvent product release.

Registration

Registration: Delete Registration

Event organizers can now easily clean up test or spam registrations with the powerful new Delete Registration feature! This feature allows for registrants to be deleted while maintaining data accuracy and traceability for online payments.

Registration: Prevent blank option selection to a required List Field

Fixed an issue where registrations were failing when a Required List or Dropdown field with a blank option was selected on the registration form. The fix ensures a validation message is displayed when an invalid selection is made on the registration form. A warning is also shown in the Form Designer when adding an Option with a blank option value to the List or Dropdown field types.

Registration: Hide inactive fee choices by default

Event Organizers can now simplify the list of fee options displayed on a registration form for Early and Late pricing by hiding inactive fees. A “Show active choices only?” checkbox has been added to the registration checkout > Fees step, which defaults to only showing active choices. This enhancement improves the user experience for event attendees and streamlines the registration process.

Registration: Show AltEmail in Worksheet and Export files

Event Organizers can now view the Alternate Email address that is optionally submitted with a registration more easily with the addition of the Alt. Email (Alternate Email Address) field to both the Registrant Export file and Worksheet tab. This update improves user experience by providing quicker access to the Alt. Email address.

Todos

Filter and Sort by Category

Event organizers can now enjoy even more streamlined and efficient task management with the ability to filter and sort their TODOs by the new Category field. This feature works just like the Area filter and allows you to quickly and easily organize your tasks for maximum productivity. Get ready to take your event planning game to the next level!

Increase sponsor slider logo banner size

Sponsor banners are now displayed in the Event Portal > Sponsor Slider area with a larger max width of 210px, improving the readability of rectangular banners for better brand visibility.

Multi-Day Check-In

You can now allow multi-day check-in for specific registration forms and ticket types. This new flexibility enables new on-site registration and ticket check-in scenarios like:

  • Offer weekend passes that are valid only for one day of a multi-day event.
  • Require daily check-ins for guests attending a multi-day event.

Pricing Plans

  • Our pricing plans have changed. All plans will now be offered only as annual subscription plans. Learn more.

Schedules

  • Copy a Schedule Line Item – Quickly make a copy of any existing schedule line item.
  • Move a Schedule Line Item between schedule sections – Schedule line items can now be moved between schedule sections using the move up and down buttons.
  • Delete All Schedule Items– Remove all schedule sections and line items from an existing schedule. This is useful if you wish to refresh schedule details from an import file.

Rich Text Editor

  • Add linked images – You can now add images to fields that support Rich Text. Any images that is hosted on a publicly accessible internet web site can be added into a Rich Text field. We recommend resizing these images to the desired size prior to inserting them into your Rich Text field.

Registration

  • Registration confirmation messages – Improved the clarity of the messages regarding auto-approved and manually-approved registrations.
  • Performance Improvements – Improved registration metrics reporting performance for the Registration Status widget, Worksheet tab, and file export.
  • Rename Form Field Options – Editing a multiple choice form field and changing an option’s Value field will now update values for any existing registrations received that selected that option value.

Event Manager

  • Private Event Pages – You can now privately share any Event Page with a specific registrant type. To privately share an Event Page, go to the Event Manager App > Event Setup section > Event Pages tab, edit the desired page to make private, and then set the Share With field to the desired registrant type. Pages that are shared privately will prompt visitors to sign in to view the page content. Visitors must then sign in using a ClearEvent account with appropriate permissions to see this private content

Contacts

  • Delete All Contacts – Remove all contacts from the Event Manager App > Contacts section > Contacts tab. This is useful if you wish to refresh your contacts from an import file, or need to clear out any old contacts collected from past events.

Misc.

  • Fix file encoding issue with Excel when loading exported registrant details from ClearEvent that contained special Unicode characters.
  • Fix date/time formatting issue in the registration confirmation emails, the Worksheet tab, and also in registration file exports. This issue was causing the date to be incorrectly displayed due to daylight savings time.
  • Fix metadata provided to social media sites to better display a featured image when posting to Facebook and Twitter.
  • Fix to ensure products are returned to inventory after canceling or declining a registration with product purchases.
  • Fix schedules embed code to ensure the resize logic is always enabled.
  • Fix timeout error preventing export or large registration datasets.
  • Fix budget rollups to ensure that discounts from promo codes are reflected in the budget totals. When discounts are applied, the budget will calculate the average unit price for all items sold.
  • Numerous other bug fixes, user interface enhancements, and performance improvements.
